Quotation

If you need a quote for interpreting services, please provide the information listed below.

Date/s, start and end time

Usually the time of meeting up is considered the start of an assignment and dismissal the end of an assignmnt. Travel time to/from the meeting point may be taken into account.

For multi-day assignments please indicate start and end time for each day!

Venue/s

Please indicate venues of interpretation.

If no names/addresses can yet be disclosed, please indicate e.g. the nearest stop or district to estimate travel times.

Interpreting mode etc.

Please specify:

  • Language combination (German-Japanese, English-Japanese, German-English-Japanese)
  • Direction (e.g. bidirectional German-Japanese, unidirectional English to Japanese)
  • Mode (consecutive, simultaneous, whispering)
  • Technical equipment for simultaneous interpreting (e.g. booth, tour guide system)
Number of interpreters

For assignments carried out by a team of interpreters, please indicate how many interpreters are required and who will be responsible for the selection.

If the client is responsible for the selection, please provide their name and contact details.

Usually, simultaneous interpreting is carried out as a team.

Topics for interpreting

Please be as specific as possible about the topics to be covered.

  • not specific enough: “Meeting”
  • better, but still more information is needed: “Meeting on photovoltaics”
  • specific enough: “Meeting with the local government regarding the construction of a photovoltaic plant”
Recordings

If recordings of any kind are planned or likely to happen, please include details about scope, purpose and storage duration of those recordings beforehand.

Audio and video contents of interpretation services are protected by copyright law, and the images of the interpreter are protected by right of portrait. Any audio or video recordings, taking of photos, and the storage, publication or other form of utilization thereof require a prior explicit agreement and are subject to an additional fee.

After order acceptance

After binding acceptance of your order, please provide the following information as soon as possible :

Schedule
  • Meeting points, time
  • Means of transportation

    • Number, names, organizations, titles etc.
    • Responsible person on site, emergency contact
  • Breaks
    Please note, to maintain my performance level, I will need a 15-minute break for every 2 hours, and additionally a 1-hour break for every 4 hours. If interpreting is required during travel or meal times, these do not count as break time but as assignment time. If the actual break times are insufficient, overtime fees will be charged.
Reference material

The quality of interpreting depends on the quality of preparation, which in turn depends on the quality of reference material.

The submission due date for such reference materials will be included in the quotation.

In general, I request reference material be provided 14 days prior to the start of assignment.

Examples:

  • product information, pamphlets, advertising materials etc.
  • attendant profiles (e.g. names, organizations, titles)
  • terminology (vocabulary list for technical terms)
  • manuscripts, outlines and files for presentation
Attire

If applicable, please indicate any specific requirements regarding attire.

  • Business Casual (shirt without tie), if not otherwise specified
  • Formal suit and tie, e.g. for ceremonies
  • Upscale casual attire, e.g. for informal occasions
  • Easily washable clothing, e.g. for factory environments
  • Weatherproof clothing, e.g. for outdoor work
  • Sturdy footwear, e.g. for construction sites

If personal protective equipment (e.g. helmet, reflective waistcoat, safety shoes) are required, I request that these be provided by the client.


Miscellaneous

Please note the following.

In cases of half/one day assignments or assignments in the vicinity of the interpreter’s office, certain points may not apply.

Accommodation

To avoid any stresses or time loss, please provide for me a single room in the same accommodation premise as the tour group.

Food

If the interpreter is expected to arrange for his own food, such food expenses will be charged.
If the client arranges for the interpreter’s food, a pro rata amount can be deducted.

Transport between the interpreter’s place of residence and accommodation

Travel costs and travel time will be charged.

To avoid the risk of delays due to traffic, I ask to arrive the day before start of the assignment. Please arrange accommodation accordingly.

If the client specifies that the interpreter shall arrive on the day the assignment is due to start, the interpreter will allow for an appropriate time buffer, but will not be responsible for any delays caused by unforeseen events during the journey. This time buffer may also be charged as travel time.

If the interpreter is expected to arrange for his own transport, he may choose the method of transport.

Transfer between accommodation and venue

If the venue is not within walking distance of the accommodation, the default mode of transfer is by taxi. However, this may not be necessary if there are good public transport connections available.
